Terms of Use

1. Introduction to ACS

Admissions Counselling Services (ACS) offered by Galvanize (referred to as “We”. “Us”, “Counsellors”, “Counselling Team” and “Galvanize” as context may require) include a variety of services such as

  • Profile Building
  • University Short listing
  • Editing & Fine-tuning SOP, LOR and Resumes
  • Application Review and Counselling and
  • Visa Counselling

2. Service Packages

Various packages decided by Galvanize that include some or all of the above services are offered for applicants who want to pursue Masters Programs, PhDs and Bachelor Programs and other study programs abroad. Applicants are also referred to as “you” or “your” or “student” as the context may demand
Your Galvanize account executive will identify your specific needs and assist you in signing up for the appropriate ACS.
Prior to making payments, you will be informed of the services that you are paying for. Making the payment for the services you have purchased using the payment link, signifies that you have accepted that the payment is for the services specified and that you have read, understood and agree to the Galvanize Terms of Use specified here and these ACS Terms of Service.
In the event a payment is made in person or via demand draft or check or wire transfer or any other means, you will be required to sign an undertaking signifying that you have accepted that the payment is for the services specified and that you have read, understood and agree to the Galvanize Terms of Use and these ACS Terms of Service

3. Services and Obligations

a. Services offered under our ACS packages: From the list of services below, Galvanize may offer, at its sole discretion, various combination of services as it sees fit, to meet needs of applicants. These services are:

  • Profile Building
  • University Short listing
  • Editing & Fine-tuning SOP, LOR and Resumes
  • Application Review and Counselling, and
  • Visa Counselling.

b. Majors, Degree Programs, Intake and Countries: The above services will apply to the specific Majors (eg. Automobile Engineering, Bioinformatics, etc), Degree Programs (eg. MS, PhD, etc), Intake (eg. Fall Semester ie August-September) and up to 2 Countries (eg. USA, Canada) as submitted in writing by the applicant after signing up for the specific ACS package. The Galvanize Admissions Counselor assigned to the applicant has the discretion of recommending modifications to these preferences if they believe the candidate’s profiles do not match the program requirements. Once these requirements are finalized, changes to these requirements may result in additional fees as specified in clause 3 f

c. Introductory email with service details: Details on what the applicant can expect from each of these services, how they will be offered (e.g. via webinar, via personal counselling etc) and what the respective obligations of Galvanize and the applicant are, will be communicated in the introductory mail each applicant will receive after they sign up for the ACS. These may be updated from time to time via email or other means of communication. It is your responsibility to be completely familiar with your obligations and schedule and strictly adhere to them.

d. Adherence to the schedule, timely, full and accurate submission of information required from you, informing and updating Counsellors promptly as needed, and attendance at the webinars are mandatory for you to benefit from the ACS. Galvanize is not obligated to reschedule any webinar or any other scheduled activity or call or conference call if you fail to adhere to your schedule. Nor is Galvanize responsible for rolling over any services to a future date if you have been dormant and failed to adhere to deadlines.

e. The final selection of universities and degree programs is jointly arrived at between the applicant and the counsellor. The counsellor may override the applicant in recommending the final selection of universities and degree programs. This is so, because the counsellors have extensive experience and the best information to ensure admission for the applicant given his specific profile. In the event, the applicant changes even one university to apply to, the guarantee (see clause 3 f) does NOT apply.

f. Extension and changes of service: Extension of service will be considered by galvanize under the following cases, and decision of Galvanize on extensions is final

  • Case (i): If applicant applies to the colleges and universities recommended by us and gets rejected by all of them, then we will shortlist a fresh set of universities without any additional cost. This is in keeping with the spirit of focussing on student success to the best extent possible.
  • Case (ii): If, after the university list is shared with the applicant and he/she changes their admission season, then we would consider this modification as an iteration. This iteration will be done without any additional cost provided the university list and course(s) the applicant aspires for remain the same and all those universities are open for admission for the new season under consideration.
  • Case (iii): If there is a significant change to the applicant’s profile after the initial set of universities have been shortlisted, and if this change requires us to additionally review the list of universities resulting in a change in the list of universities to be shortlisted (e.g. the applicant completes major projects which significant impact admission chances, or if the applicant completely changes his/her area of interest), then we will consider this as a new work and additional fee of up to 50% of the original fee paid by the applicant when he/she availed the service initially, will be charged.
  • Case (iv): If an applicant changes the area of interest, degree sought, or countries preferred after the initial set of universities have been shortlisted, and if this change requires us to additionally review the list of universities resulting in a change in the list of universities to be shortlisted, then we will consider this as a new work and additional fee of up to 50% of the original fee paid by the applicant when he/she availed the service initially, will be charged .

g. Standardized Tests & Score Requirements: Applicants agree and acknowledge that there will be specific requirements regarding completing and/or scoring certain minimum scores on selected Tests (such as GRE, TOEFL, IELTS SAT, GMAT etc.) for admission to universities in various countries. These requirements are determined solely by the countries and/or the individual universities. Applicants have no choice but to comply with these requirements as a condition for the consideration of their application. Applicant understands and agrees to adhere by these requirements and further understands that Galvanize does not have any say in these matters.

h. Documents have to come from the applicant: Galvanize counselors do not author documents such as Resume, SOP, and LOR or Essays for the applicant because it is in the applicant’s best interests that his/her originality and unique qualities and interest are brought out in all the documents. Universities are also known to run plagiarism detection algorithms and any copying can result in immediate rejection of the candidate’s application. We do not provide samples to encourage originality of ideas. The Galvanize Counselor will actively guide the applicant to come up with these documents by promptly providing the right document format, structure, feedback and editing for up to 3 iterations per document.

i. Proactive participation and timely response with all information and documentation: It is vital that the applicant understands that ACS is a highly interactive service. It is up to the applicant to participate proactively to fully benefit from the ACS. Applicants must submit all the required documents on time, all the time, as detailed from time to time by Galvanize, for the process to be effective, and must adhere to all the other requirements listed here and in any communications from Galvanize that may follow. Delays or incomplete submission or not addressing the terms detailed here and in any other communications from Galvanize, will relieve Galvanize of any responsibility for successful completion of the ACS. Students are required to play a proactive role

j: Communications between Galvanize Counsellors and Applicants: The counselling team works between 9 AM and 7 PM , Monday to Saturday excluding all public holidays. The applicants should normally contact the counselors during these timings only. For any other queries, they may email the counseling team and can expect a reply within one business day. The applicant may also add the counselling team to “gtalk” for ease of communication. We may not be online all the time and you are advised to can leave an email if you need to connect with us definitively

k: Admit and Reject Details: Admit and Reject details must be promptly communicated by applicants to Galvanize within 48 hours of the applicant receiving such notices. Failure to so will substantially affect the effectiveness of the Admissions Counselling and Visa Counselling and it is in the best interests of the applicant to very promptly notify us on this matter. We do not guarantee admits and visa, since it is a subjective selection process. We do not act as financial guarantor for any student .

l: Right to Discontinue Service: Galvanize reserves the right to discontinue ACS for an applicant without assigning any reason. In the event we decide to so, whether or not you will receive a partial or full refund or none at all, is entirely and solely at the discretion of Galvanize .
